How we look after your information.

What we collect

When you fill in a contact form on this website, we collect your name, your email address, your phone number, the date and time you would prefer, whether you would like to join us for a meal or need catering, what you tell us about your event if you are enquiring about a hall rental, and the language you were using the site in. The form has no message box, deliberately: if there is more about a family member's health or care needs we should know, please tell us by telephone at (613) 446-7122 rather than in writing.

What is recorded automatically

The date and time you sent the form, your browser type, and a scrambled one-way code made from your internet address — not the address itself. That code is used only to stop automated spam. It cannot be turned back into your address or used to identify you. The contact forms use no cookies and no tracking.

Why we collect it

To reply to you and to arrange your visit or your event. That is all. We do not sell your information, we do not share it for advertising, and we do not add you to a mailing list.

Where it is stored

Your enquiry is stored in a secure database located in Canada, in the Montreal region, operated on our behalf by Supabase.

Processing outside Canada

Three things happen outside Canada, and you are entitled to know all of them. First, the form itself: when you press send, your enquiry is received and checked by a service called Vercel, on a computer in the United States, before it is stored here in Canada. Second, the email that tells us you have written: it is delivered through our provider Resend, whose servers are in the United States, and arrives in an email account provided by Google. Third, the system that sends that email and keeps our backups runs on a server in Germany; it reads your enquiry in order to send the notification, and the copy it keeps is encrypted so that the company hosting that server cannot read it. A copy of what you send us is therefore processed outside Canada, where it is subject to the laws of those countries. Canadian privacy law permits this, and we remain responsible for your information wherever it is processed. Who can see it

Staff at the residence who handle enquiries, and the service provider who maintains this website and has technical access to the system. Nobody else.

How long we keep it

In our database, we keep your enquiry for 24 months. After that we automatically remove your name, email address, phone number and anything you wrote to us. What remains cannot identify you — the date, the language, whether you asked about a meal, and whether we replied. This happens on its own, every night. The email copy is separate and is not covered by that nightly process: our email provider, Resend, keeps its copy for about 30 days, and their system does not let us delete an individual message sooner; the copy in our own mailbox we delete when it is no longer needed. If you would like either copy removed, write to us — we will delete our mailbox copy and ask our provider to delete theirs. A deleted message can sit in the mail service's trash for up to 30 days before it is gone for good.

Your rights

You may ask us to show you what we hold about you, to correct anything that is wrong, or to delete your enquiry — both the database record and the copy in our mailbox; we will also ask our email provider to delete theirs. If you are not satisfied with how we have handled your information, you may complain to the Information and Privacy Commissioner of Ontario, at 1-800-387-0073 or ipc.on.ca. For the copies of your enquiry that are handled outside Canada, you may also complain to the Office of the Privacy Commissioner of Canada.

Security

Your enquiry is stored in a database that no public key can read; only our server can reach it. Everything travels over an encrypted connection. No system is perfect. If information were ever lost or exposed in a way that created a real risk of serious harm to you, we would tell you and we would report it, as the law requires.
